How to download your application records from Strata Apps

Want to retain the applications you have processed in Strata Apps in offline storage? Follow these steps to download your application records and images.

Download application records

Launch Strata Apps and log in. Click on Admin.

The Application Management screen should be displayed. If not, click on the Application Management button.

To the right of the Search Builder, check the box for Return all results.


In the Search builder, click on the first drop-down and select Scan Date.


In the next drop-down, select Greater Than Or Equal.


Select the date you started to collect applications from the school year which you are needing records. In this example, I am pulling records for the 2022-2023 school year, so the date selected for this step is July 1, 2022.

Click the plus sign.

A new search attribute will appear in the Search Builder. Click on the first drop-down and, once again, select Scan Date.


For the next drop-down, select Less Than Or Equal.


Select the date you stopped collecting applications from the school year which you are needing records. In this example, I am pulling records for the 2022-2023 school year, so the date selected for this step is June 9, 2023.

Click the Search button to the right of the Search builder.

It may take a few minutes for the results to display.

After the results have loaded, you will be able to click Export. This will allow you to save the results as a CSV file on your computer.


You may use the records file as a reference for when an applications was received, validated, and exported as well as which students were identified on that application and who validated the application.

Download application images

In the Admin module, click on  Control Panel .

In the "Utilities" section, click Download App Images .

Select the school year that you want to download, then click Queue Job.


Click OK.


Close the Application Image Download window. The job will take some time to complete, so check back later.

The Application Image Download window does not refresh with new information live, so it must be closed and re-opened to view new information.

If you need to queue more than 1 job, wait for the current job to finish before adding another job to the queue.

When the job is completed, it will be listed in the "Job History" of the Application Image Download window. Click Download to obtain your application images for the described school year.


Wait for the download to finish, then click OK.



If the job does not complete, please contact Strata Apps software support. Do not submit another job.

How to find a student's application from the downloaded images

To find an application image for a specific student, start by looking for that student in the CSV file you created from the "Download application records" step. In this example, I am looking for application ID 2023000086 for the student named Natasha Dulcio. That application appears to be in batch number 165.


After unzipping the file from the "Download application images" step, I now need to go to the location where I unzipped the file. There will be a folder for that school year. In this example, there is a folder named "2023" for the 2022-2023 school year.


From there, I need to open the folder for batch number 165.


Within that folder will be some PNG images. The first file is the application image containing the data that was used to evaluate the student's eligibility.
