RocketScan Rollover Guide for the New Application Period (Customer-Driven)

The RocketScan Rollover process prepares your system for the upcoming school year. This process is now customer-driven and can be completed directly within the RocketScan application.

Before You Can Begin…

  1. You must submit an order in the Portal before starting the rollover process.
  2. Visit: https://portal.RocketScan.com or contact RocketScan Sales
    at 1-800-956-9000 Option 1 for assistance.

         

  1. Ensure you are ready to stop processing forms for the current school year.
    Once rollover is complete, you will no longer be able to process current-year forms.

  1. We strongly recommend reviewing this guide before proceeding.
     


Important Considerations

  1. Rollover ends processing for the current school year·        
  1. After rollover:   
    1. You may begin collecting NSLP and Income Survey form
    2. These forms CANNOT be processed until updated USDA Income Eligibility Guidelines take effect on July 1.      
  1. Universal Benefit Applications (SunBucks) may continue to be processed.
    1. Forms processed prior to July 1 will use the current guidelines. 
    2. Forms processed from July 1 onward will use the updated guidelines.

 

STEP 1 - System Readiness Check

When initiating rollover, RocketScan will check your system:

  1. Auto Process must be running
    1. Navigate to Administration > Database/Services to confirm.
  2. All forms must be cleared
    Any unvalidated forms must be:
    1. Validated, or
    2. Moved to Hold (without validating)
  3. The Student Lookup cannot contain any duplicate student records. Use the Student Lookup Search feature in Admin to resolve the issue
  4. You must have an approved Form Design draft in the Portal

You will not be able to proceed until these items are resolved.

 

STEP 2 – Starting the Rollover

When your system is eligible:

  1. You will be prompted to begin the rollover process.
  2. If you are not ready, you may exit and choose to be reminded later.

When ready:

  1. Click “Proceed with Rollover” 
  2. Follow the guided steps


STEP 3 – Backup & Audit

Before rollover begins:
  1. A database backup will be created
    1. Default location is preselected
    2. You may change this if directed by your IT department
  2. An Audit archive will be created
    1. Includes all current-year forms and reports
    2. Can be saved to a network or local location

     

    STEP 4 - Final Confirmation

    Before proceeding:

    1. You will receive a final warning that the rollover is irreversible
    2. This is your last opportunity to cancel if you still need to process current-year forms
    To continue click YES to begin the rollover

     

     

     

    STEP 4 - After Rollover

    Once complete:
    1. Your system will be set to the new school year
    2. RocketScan will check for completed Online Form Designs in the Portal
      1. You may import them immediately
      2. Additional designs can be imported later when completed
    3. After importing forms:
      1. You may update your Online website settings
      2. You can begin collecting online submissions
    4. If you ordered paper forms, contact: support@image-1.com once forms are received

    Your RocketScan system is now ready for the new school year.

     

    Addendum

    If new Form Designs are available, you will see the option:

    “There are new Form Designs to be imported. Would you like to import them now?”

    You may choose to import immediately or complete this step later.
