The rollover happens after processing all applications for one school year and transitions the system into the next school year, including applying necessary updates to the client software, service, and database. This procedure is completed by Image One support for you and must be scheduled in the RocketScan customer portal during the workflow when you start your order for applications/forms every year.
During the rollover procedure, we archive the previous year's information and refresh the system for the new year. This includes making a standalone audit file — a folder that contains all the images (scanned and online) of the applications processed that year and the "Audit Viewer" software. With this file, an auditor may view what you processed through RocketScan for that school year (including when an application was scanned or received online, the date it was validated, and the name of the user that validated it).
To prepare your RocketScan system to process applications or forms for the new school year, we also import barcode information and configure the fields to be read by your scanner. If you utilize the RocketScan online application, then we also configure the online and offline date for your site.
The RocketScan rollover team will need access to your RocketScan database and the server(s) hosting your RocketScan service. If you have the online module and self-host the site, we will also need access to the web server that is hosting the site. Lastly, we will need access to your scanner to ensure your paper applications are properly aligned. In most cases, a member from your IT will need to be involved to grant access to the necessary machines.
